WHY DATA CLASSIFICATION IS SO IMPORTANT

As an Records Management Officer, you know where all of your paper records are stored. You know when they are archived and destroyed. You even know the various record types that are stored in each department, and you work to protect paper records from physical harm such as mold, floods and fire. Can you say the same regarding electronic records that are stored on municipal servers?  Do you know what electronics records are stored on servers, who has access to those records, if there is a back up of the records and if records retention policies are applied to them?

mDm has over 20 years of managing electronic records and works with RMO's to:

  • Identify electronic files on servers set up a folder structure for users to save their information in;

  • Create an electronic destruction form so that an RMO is involved whenever a user desires to delete an electronic record;

  • Monitors your backups both on and offsite to make sure that your electronic records are protected.

Municipal Database Management will assess your electronic records and identify vulnerabilities in database security and file structure. We will also work with your local IT consultant and/or staff to identify and solve weak areas that cause negative IT internal control audits.

Get the most out of your Electronic Content Management System by implementing an Electronic Records Retention Schedule – ECMS (LGS-1, ED-1 and NY Courts Retention Schedules).

Whether you use Laserfiche, OnBase or DocuWare, mDm can create your folder structure, apply records retention and develop workflow automating your projects. We also provide administration of your ECMS systems to lessen the burden of database management.  We work with RMO's to:

  • Maintain their ECMS database

  • Perform quality control of scanned documents

  • Assist with determining new projects and work to implement them

  • Assess and maintain application security

Let mDm help you create procedures and training manuals that document the migration from paper records to electronic records retention.
